- Intro The Manager of Operations will oversee and coordinate the daily
administrative, financial, HR, and compliance operations of soonami.
This role ensures smooth internal processes, accurate financial and HR
reporting, and consistent communication between external service
providers, the leadership team, and employees. The ideal candidate is
a highly organized, detail-oriented professional who thrives in a
dynamic, fast-paced environment and can manage multiple
responsibilities independently. Tasks 1. Administration & Internal
Operations Manage access and permissions across company tools, apps,
and platforms (e.g., Google Workspace, Datev, GAIA, JOIN, ZOOM,
Calendly, Confluence). Handle general administrative tasks, including
venue bookings, coordination of team events, and procurement of gifts
for staff and partners. Maintain internal documentation, templates,
and shared drives. Support leadership with scheduling, correspondence,
and operational planning. 2. Finance & Accounting Coordination Prepare
and process payments (FIAT, crypto, and token-based). Manage invoicing
cycles and upload all invoices into Datev Unternehmen Online .
Coordinate with external accounting partners for monthly and quarterly
closings. Assist auditors during annual reviews and financial due
diligence. Prepare monthly financial reports and forecasts for the
executive team. Ensure financial compliance and maintain accurate
records for tax and reporting purposes. 3. Human Resources Support
recruitment activities: posting roles, scheduling interviews, and
onboarding. Maintain employee documentation, contracts, and HR
archives. Track working hours, vacation days, and absences. Coordinate
with the external payroll accountant and ensure timely payroll
reporting. Support employee engagement initiatives and company culture
activities. 4. Legal & Compliance Manage and update company
incorporation and governance documents. Administer and maintain the
company Google Drive archive for all legal and corporate files.
Review, draft, and update contracts in collaboration with external
legal advisors. Ensure compliance with German corporate, labor, and
data protection regulations. Requirements Bachelor’s degree in
Business Administration, Finance, HR Management, or a related field.
3–5 years of experience in operations, administration, or finance
— preferably in a startup, tech, or innovation-driven environment.
Strong knowledge of German administrative and tax requirements
(experience with DATEV is an advantage). Excellent organizational,
communication, and multitasking skills. Fluency in English; Strong
sense of responsibility, discretion, and hands-on problem-solving
